Our VIP UHNW client is currently seeking an experienced Multi Estate Manager to implement & maintain the integrity of all aspects of their Estate (5+ properties across 3 states).
The role covers managing everything from staff to vendors, new construction projects to regular maintenance, liaising between Business Manager and staff, overseeing all projects including storage inventory, payroll, petty cash, and billing approvals. Several of the properties are in various stages of renovation.
Also assist in holiday decorations, celebrations, handle all vehicle maintenance, and all ad hoc items as well as overseeing home repair and maintenance, routine upkeep, and home staffing needs.
Working alongside home office and domestic staff to create a smooth flow in the household.
This is a live out role & there will be potential assistance with relocation costs for the right person.
Responsibilities include, but not limited to:
Internal Staff Support:
- Approve time for hourly employees
- Oversee the Estate Guest list for security and HOA
- Manage all communication threads on WhatsApp
- Supervise a staff of 15 or more- including hiring, compliance, disciplinary actions, PTO approvals, scheduling, dispersing information to the house staff
- Coordinate with Security for protocol and procedures
Home Management:
- Daily walk-throughs of home
- Manage holiday decorations, gift purchases, and gift wrapping
- Coordinate movies for the home theatre
- Work with gym equipment suppliers
- Work with Interior Designers, contractors, and architects for all properties
- Send weekly recap email to principal every Monday
- Coordinate approvals with principal and Business Manager of estimates and Work Authorization payments
- Coordinate and oversee all estate vendors; billing approvals, insurance certificates
- Work with Real Estate agents for viewings of listed properties
- Home maintenance; consistent checks for paint touch ups, electrical work, floor repairs, Kid Village repairs, landscape repairs, vehicle repairs, appliance maintenance, annual brush clearance, HOA and city policy compliance
- Maintain daily checklist
Storage Management:
- Manage and oversee storage accounts
- Regularly audit and inventory storage in partnership with storage assistant
- Work directly with storage vendors on logistics, inventory management, consolidation, removal, and disposal
- Coordinate all movements of items to and from storage
- Additional duties may be delegated as needed and are subject to change
Skills required:
- Experience managing multiple residences for UHNW families – this is key
- Ideally, experience of large architectural / renovation projects
- Good experience managing contracts & vendors (ideally within California)
- Excellent verbal and written communication skills
- Excellent interpersonal and customer service skills
- Excellent organizational skills and attention to detail
- Excellent time management skills with a proven ability to meet deadlines
- Strong analytical and problem-solving skills
- Ability to prioritize numerous tasks
- Ability to function well in a high-paced environment
- Proficient with Microsoft Office Suite or related software – Google sheets and Google Docs
- Ability to see the full picture of any delegated task and complete every aspect of said task
Education, Experience and Documentation:
- High school diploma or equivalent
- At least 8 years related experience required in an UHNW home with numerous properties
- Rights to work in the USA already
- Valid driver’s license
Working Days/Hours: Full-time with flexibility beyond standard working hours
Salary: $200-250k gross per year DOE
